Position Summary
The Practice Administrator serves as the business partner to the Endodontist(s) and is responsible for overseeing operations within a dental practice setting. This includes staff management, OSHA/HIPAA compliance, superior patient care and practice business management. This is a management role that requires leadership experience, a strong business acumen as well as effective communication, organizational and accounting skills.
Duties and Responsibilities
Oversee day-to-day operations, ensuring the practice runs efficiently and adheres to industry standards and regulations.
Lead, mentor, and support a team of dental professionals, fostering a culture of collaboration, continuous learning, and exceptional patient care and experience.
Manage office supplies, budgets, invoices and IT equipment.
Manage the financial aspects of the practice, including billing, budgeting, and forecasting, to ensure profitability and sustainability. Adept at utilizing metrics to guide business decisions and optimize practice operations.
Effectively manages accounts receivable to ensure monthly goals are met, keeping AR > 90 days at 10% or less.
Ensure a high standard of patient care by liaising with the team, addressing patient concerns, and implementing feedback-driven improvements.
Oversee hiring processes, ensure continuous professional development for the team, and foster a culture of excellence and growth.
Keep abreast of the latest technology, trends, and best practices in dental health management to drive innovation and excellence in the practice.
Closely monitor the practice schedule to ensure optimal productivity.
Manage referral marketing and internal marketing initiatives. Build and maintain strong relationships with referring providers, identify areas of opportunity and partner with support coordinator to ensure needs are met. The expectation is that 4 days per month are dedicated to marketing efforts.
Oversee processing of insurance claims and eligibility verification, including audits to ensure accuracy.
Posting of insurance payments, including processing appropriate adjustments and refunds.
Assure EOD reports are complete with accuracy and are balanced.
Ensure compliance with company policies and procedures
The PA role is an exempt position. The work schedule is determined by the office hours of operations and may fluctuate. This position is a 40-hour work week.
Supervisory Responsibilities
Manage practice team in partnership with owner doctors.
Provide continuous performance management and oversee the annual performance review process.
Prepare staff schedule to align with doctor’s schedule and business volume.
Review and approval of employees paid time off and payroll.
Handle employee relations issues.
Required Skills / Abilities
Proficient in the use of Microsoft Office products
Working knowledge with dental procedures, terminology, and dental insurance submission
Excellent customer service skills
Strong leadership skills with a high level of professionalism
Good written and oral communication skills
Self-motived with strong time management and multi-tasking skills
Education and Experience
Bachelor’s degree in business administration or related field is preferred
Minimum of three (3) to five (5) years of dental office management experience; and/or equivalent education and/or experience is required
Physical Requirements
Prolonged periods of sitting at a desk and working on a computer
Must be able to lift-up to 15 pounds at times
Visual acuity to read records and documents
