Position: Dental Office Front Desk Receptionist Job Type: Full Time or Part Time Company: Smilin Dental, Wilmette, IL Hours (if Full Time; Part time hours also available): Monday 8:00am - 5:00pm Tuesday 8:00am - 5:00pm Wednesday 8:00am -2:00pm Thursday 8:00am - 5:00pm Friday 9:00am - 1:00pm Job Description: Our front desk team member will effectively and efficiently check-in patients, verify insurance eligibility, maintain patient appointments (schedule, reschedule, confirm) in-person and via phone, and collect payment for service. The ideal candidate should have strong customer service skills, be able to work well in a team environment, and be flexible to changing workloads. Front desk experience is preferred, although not required and we will happily train the right candidate with a willingness and aptitude to learn the processes. Essential Duties and Responsibilities Include: • Greet & interact with patients: Welcome patients and visitors in person and by phone in a professional and friendly manner. • Schedule appointments: Schedule appointments for patients with doctors and hygienists. Actively manage ‘cancellation list’ and maintain up-to-date office patient calendar. • Manage patient records: Maintain, file, and retrieve patient charts and records. Gather information from the patient and scan all information into the Electronic Medical Record. Maintain accurate and detailed financial and insurance information for all patients. • Insurance support: Confirm insurance eligibility and coverage for each patient. Answer patient questions regarding co-pays and/or deductibles and collect payment as appropriate. Understand and explain insurance benefits and financial options in non-clinical terms. • Assist patients: Recognize signs of a dental emergency and ensure a proper and timely response and notice to patient, staff, and emergency medical personnel when necessary. • Using technology: Use practice management software and communication technology to manage scheduling and interact with patients and doctors. • Be integral team member: Demonstrate professionalism and willingness to learn, pitch in and support office as a whole. Communicate effectively with staff and doctors about patients, insurance or general needs. • Maintain reception area: Keep the reception area clean and orderly. • Understand and follow HIPAA regulations and maintain confidentiality. Qualifications (Knowledge, Skills, and Abilities): • Customer service: Excellent customer service skills to interact with patients, and strong verbal communication skills to work alongside staff and doctors. • Communication: Ability to write, speak and understand information and effectively present information one-on-one with patients. • Problem-solving: Pull upon training and apply understanding to carry out details written or verbally instructed. Ability to provide solutions when answering questions and concerns from patients and visitors. • Computer skills: Basic computer knowledge and experience with dental management software, knowledge of Softdent a plus (although not required; we will train the right candidate with willingness to learn). • Organization, time management and detail-oriented: Excellent organization skills and forward-thinking planning to maintain accurate appointment calendar and up-to-date charts and documentation. Proactively note and maintain patients’ insurance information and understand how to implement billing as a result of insurance coverage. • Interpersonal skills: Exemplify patience and sensitivity to patients’ needs and work together to find solutions to meet patients’ expectations. • Professionalism: Listen and understand asks from patients, staff and doctors. Ability to work in a sometimes fast paced, patient-focused environment. Qualifications (Experience, Education, Certification): • Preferred dental or medical office experienced, but not required. • Required excellent customer service skills. • Preferred knowledge of Softdent software, but not required. • Proficient in verbal and written English and have basic computer skills. • Demonstrated organizational and time management skills.
