Our team is passionate about creating beautiful smiles and delivering top-tier orthodontic treatment in a comfortable and welcoming environment. We are currently seeking a highly motivated, organized, and experienced **Orthodontic Office Manager** to join our growing team. Office hour is every Tuesday to Friday at 9am to 6pm and every other Saturdays 9 am to 2 pm. ### Job Description: The Orthodontic Office Manager will oversee the day-to-day operations of our orthodontic office, ensuring the practice runs smoothly and efficiently. The ideal candidate will have strong leadership skills, exceptional organizational abilities, and a passion for delivering excellent customer service. This position is perfect for someone who thrives in a fast-paced, dynamic environment and enjoys managing multiple tasks while leading a team. ### Responsibilities: - **Manage Office Operations**: Oversee all administrative functions, including patient scheduling, billing, and insurance verification. Ensure the practice operates efficiently, with an emphasis on patient care and satisfaction. - **Team Leadership**: Supervise, train, and motivate staff members, including dental assistants, front office staff, and treatment coordinators. Foster a positive work environment with a strong focus on collaboration and teamwork. - **Financial Management**: Monitor practice expenses, maintain budgets, and ensure accurate billing and collections. Work closely with the team to meet financial goals and identify opportunities for revenue growth. - **Patient Experience**: Provide outstanding customer service to patients, handling any concerns or complaints promptly and professionally. Ensure a welcoming and comfortable atmosphere for all patients. - **Compliance and Regulations**: Ensure the office complies with all health, safety, and regulatory standards, including HIPAA and OSHA guidelines. Keep up-to-date with changes in laws and regulations that affect the orthodontic practice. - **Inventory Management**: Oversee the inventory of dental supplies and office equipment, ensuring that all materials are stocked and in good working condition. - **Marketing and Promotion**: Assist in marketing efforts to promote the practice, including social media management, community outreach, and referral programs. ### Qualifications: - Proven experience as an office manager or in a similar role, preferably in an orthodontic or dental office. - Strong leadership and interpersonal skills with the ability to effectively manage a team. - Exceptional organizational skills and attention to detail. - Proficient in dental practice management software and Microsoft Office. - Knowledge of insurance verification, billing, and collections processes in a healthcare setting. - Excellent communication skills, both written and verbal. - Ability to work in a fast-paced environment and handle multiple tasks simultaneously. - High school diploma or equivalent required; associate or bachelor’s degree preferred.
