Job Title: Dental Office Administrator/ Insurance Coordinator Job Description: We are seeking a highly motivated and organized Dental Office Administrator/Insurance Coordinator to oversee and ensure the smooth operation of our pediatric dental practice. The ideal candidate will lead our team in delivering exceptional patient care, maintaining office efficiency, and achieving financial and production goals. Key Responsibilities: Office Operations: • Oversee daily office operations, ensuring the office runs efficiently and meets production goals. • Recruit, interview, and onboard new employees as needed. • Organize and lead weekly meetings and monthly team meetings. • Ensure all data is updated and reviewed at the start of the week (e.g., on Mondays). • Oversee insurance verifications and maximizing patient benefits • Assist dentist with administrative and operational duties Patient Care and Communication: • Oversee the overall patient experience, addressing patient concerns promptly and professionally. • Present treatment plans to new and existing patients, including extensive treatment plans. • Explain financing options and insurance benefits to patients and follow up with financing communications. • Implement and monitor consent forms for treatment. • Ensure timely collection of balances. Financial and Administrative Duties: • Prepare checks, monitor bills, and complete daily deposit slips. • Ensure expense and profit sheets are completed accurately. • Assist with setting/managing production and collection goals. • Monitor insurance processes, including verifications, claims, and follow-ups. Coordination and Technology Use: • Coordinate duties across all departments, including front office, marketing, insurance coordination, dental assistants. • Oversee the practice’s production and maintain an adequate schedule to meet production goals. • Post and update team tasks in Asana and Google Drive to ensure effective communication and task tracking. Qualifications: • Proven experience as an insurance coordinator/office manager/front desk personnel or similar role in a healthcare setting. • Strong understanding of Dentrix, dental insurance, financing options, and patient billing. • Exceptional leadership and communication skills. • Proficiency in Asana, Google Drive, and other office management software. • Ability to handle financial responsibilities with accuracy and discretion. • A passion for delivering outstanding patient care in a pediatric setting.
