Description

The Treatment Coordinator is responsible for managing patient care, presenting treatment plans, ensuring smooth communication between patients, dental staff, and insurance companies, and handling insurance claims and billing matters. This role ensures patients understand their treatment options and the financial aspects related to their care, including insurance benefits and out-of-pocket costs. Patient Care and Communication: Greet and assist patients upon arrival, ensuring they feel welcomed and informed. Present and explain treatment plans, procedures, and expected outcomes to patients, helping them make informed decisions about their care. Address any patient concerns or questions regarding their treatment, fees, and insurance coverage. Treatment Plan Presentation: Work closely with the dentist to create clear, understandable, and accurate treatment plans for each patient. Present the recommended treatment options, ensuring that patients are fully informed of all available choices, including costs, insurance coverage, and any financial responsibilities. Use visual aids, models, or charts to help explain treatment options and procedures to patients. Insurance Claims: Submit dental claims to insurance companies for pre-authorization or post-treatment reimbursement. Follow up with insurance companies to resolve any claim denials or issues, ensuring timely processing and payment. Explanation of Benefits (EOB): After treatment, review and explain the Explanation of Benefits (EOB) to patients, ensuring they understand what insurance has covered, what remains as patient responsibility, and why. Assist patients in interpreting and addressing discrepancies between the EOB and expected coverage. Provide guidance on any outstanding balances and payment options available, including setting up payment plans if necessary. Financial Coordination: Discuss financial arrangements with patients before treatment, including confirming the costs and any insurance coverage. Present and discuss payment options, such as payment plans, financing, or third-party assistance programs, to ensure patients are able to proceed with treatment. Monitor and follow up on outstanding patient balances, ensuring timely payment collection. Administrative Support: Accurately document patient treatment plans, insurance details, and financial arrangements in the office’s records. Keep detailed records of interactions with insurance providers, patients, and financial transactions. Assist in maintaining patient files, verifying insurance coverage, and updating patient treatment schedules as needed. Patient Education and Follow-Up: Provide patients with necessary pre- and post-treatment care instructions and resources. Follow up with patients after treatments to ensure they are satisfied and have no further questions regarding their care or billing. Educate patients about oral health, preventive care, and the importance of maintaining regular dental visits. Team Collaboration: Work closely with dentists, hygienists, and other office staff to ensure smooth and efficient patient care. Communicate effectively with the office team to keep everyone updated on treatment plans, insurance matters, and any special patient needs. Qualifications: High school diploma or equivalent required; dental assisting or office management certification is a plus. Previous experience in a dental office setting, particularly in treatment coordination, insurance billing, is highly preferred. Strong knowledge of dental terminology, procedures, and insurance processes. Familiarity with dental software and patient management systems. Excellent organizational skills and the ability to manage multiple tasks and patient needs simultaneously.
