Description
The Dental Front Office Coordinator is responsible for ensuring a seamless and positive experience for patients during their checkout process. This role involves collecting payments, explaining bills, batching out, scheduling future appointments, answering billing questions, posting payments, reviewing patient ledgers, and asking for reviews. Key Responsibilities: Patient Checkout: Ensure all patients are checked out efficiently and accurately. Collect payments and provide receipts. Verify and explain charges to patients. Payment Collection: Collect payments in various forms (cash, credit card, insurance). Record transactions accurately in the practice management system. Provide financial arrangements for patients as necessary. Bill Explanation: Explain billing details and insurance benefits to patients. Address and resolve billing inquiries and concerns promptly. Educate patients on payment policies and options. Batching Out: Reconcile daily transactions and prepare batch reports. Ensure all payments are accounted for and balanced. Assist in end-of-day closing procedures. Appointment Scheduling: Schedule follow-up appointments and manage the appointment calendar. Confirm and remind patients of upcoming appointments. Coordinate with dental staff to optimize the appointment schedule. Billing Questions: Answer patient inquiries regarding billing, insurance, and account balances. Provide clear and accurate information to patients. Liaise with insurance companies to resolve billing issues. Payment Posting: Accurately post payments to patient accounts. Update patient ledgers with payment information. Ensure timely processing of all payments received. Reviewing Patient Ledger: Regularly review patient accounts for accuracy and completeness. Identify and rectify discrepancies in patient ledgers. Maintain detailed and organized patient records. Ask for Reviews: Encourage satisfied patients to leave reviews and feedback. Provide guidance on how to leave reviews on various platforms. Track and report on review activity and patient feedback. Qualifications: High school diploma or equivalent; additional education in office administration or related field preferred. Previous experience in a dental office or healthcare setting. Proficiency with dental practice management software (e.g., Dentrix, Denticon and Eaglesoft). Strong understanding of dental billing procedures and insurance processes. Excellent customer service and communication skills. Attention to detail and strong organizational skills. Ability to multitask and work in a fast-paced environment. Bilingual abilities are a plus. Physical Requirements: Ability to sit, stand, and walk for extended periods. Manual dexterity to operate office equipment. Ability to lift up to 20 pounds.
